You will be responsible for managing a portfolio of clients, coordinating new business applications, liaising with providers and ensuring clients receive an excellent level of service throughout their financial planning journey.

This is a varied role combining client relationship management, technical administration and team collaboration, with the opportunity to contribute to the ongoing development and efficiency of the business.

Key Responsibilities:

  • Managing a portfolio of clients and maintaining accurate client records.
  • Preparing client files and relevant documentation ahead of review meetings.
  • Handling client queries and ensuring timely and professional responses.
  • Processing new business applications across a range of financial products.
  • Liaising with providers, platforms and insurers to track applications through to completion.

  • Preparing illustrations and basic suitability reports in line with adviser recommendations.
  • Ensuring client documentation is accurate and completed within required timescales.
  • Supporting Paraplanners with the preparation of financial plans and advice documentation.
  • Assisting with research and gathering information to support product recommendations.
  • Keeping client portfolios and investment records up to date.

Client Relationship Management:

  • Building and maintaining strong relationships with clients, advisers and third-party providers.
  • Keeping clients informed throughout the application and financial planning process.
  • Coordinating and arranging client review meetings, ensuring follow-up actions are completed.
  • Liaising with solicitors, accountants and other professional contacts where required.
  • Delivering a consistently high standard of client service.

Compliance & Office Support:

  • Ensuring all activities comply with internal procedures and regulatory requirements.
  • Completing and checking KYC and AML documentation.
  • Maintaining compliance records and assisting with audits and regulatory reviews.
  • Supporting the smooth running of day-to-day office administration.
  • Identifying opportunities to improve administrative processes and efficiencies.

Skills & Experience Required:

  • Previous experience within an IFA or financial services environment.
  • Good knowledge of financial products, including investments, pensions and wider financial planning solutions.
  • Experience processing new business from initial submission through to completion.
  • Strong understanding of compliance procedures, regulatory requirements and data security.
  • Previous experience managing client relationships and a portfolio of clients.
  • Confident using back-office systems and CRM platforms.
  • Excellent communication and relationship-building skills.
  • Strong organisational skills with exceptional attention to detail.
  • The ability to manage competing priorities and work effectively under pressure.
  • A proactive approach with strong problem-solving skills.
  • Previous team leadership or mentoring experience would be advantageous.

Personal Attributes:
We are looking for someone who is approachable, professional and client-focused, with the confidence to build positive working relationships across the business.

You will be highly organised, self-motivated and adaptable, with the ability to work independently and as part of a wider team. A positive attitude and commitment to maintaining a supportive and collaborative working environment are essential.

Qualifications:
No formal qualifications are required; however, relevant financial services experience and a good understanding of financial planning administration and paraplanning processes are essential.
